Mortgage Operations Executive Assistant reports direct to EVP and other executives as needed.
Responsibilities to include:
Effectively and promptly schedules and coordinates meetings and conference calls, presentations and other executive events. To include arranging conference rooms, preparing and sequencing agendas, lunch and dinner arrangements, selecting menu, establishing time frame and scheduling audio visual equipment on site and occasionally to travel destinations. Ensuring established schedules are maintained.
Coordinating travel arrangements for individual and groups including flight and hotel reservations, ground transportation, meeting schedules, itineraries for extended travel.
Composes and sends correspondence of moderate complexity without review such as congratulatory letters, and or instructions on policy and procedures or responses to information needed.
Processes travel and expense reports.
Compile information from a variety of sources to prepare standard and ad hoc reports and exhibits. Assemble materials and prepare detailed exhibits for meetings presentations, special projects and other office related activities
Answers phones, takes messages or/or redirects calls.
Acts as an office liaison. Responds to a wide range of requests that are confidential and sensitive in nature.
Tracks and orders office supplies including other billing related items.
Responsible for coordinating new hire equipment including computer, phone, and security access and working with related office to coordinate offsite delivery.
Maintain knowledge of office equipment, functionality including telephone, fax, copier, postage meter, computer and others. Will act as a subject matter expert for system capabilities and usage.
Other duties as assigned.
Basic Qualifications
- High school diploma or equivalent
- Five to eight years of experience in administrative and support staff activities
Preferred Skills/Experience
- Strong reading, writing and mathematical skills
- Ability to manage multiple tasks/projects and deadlines simultaneously
- Advanced administrative, secretarial and clerical skills
- Ability to identify and resolve exceptions and to interpret data
- Excellent verbal and written communication and grammatical skills
- Proficient computer skills, especially Microsoft Office applications
